Working with views

If you work again and again with the same criteria in overviews, you can save the filter settings in a view. This maintains the filter, so you can reuse it as often as you like.

• Not all overviews support the use of views. Those that allow you to create and edit views of an overview are identified by a gear icon in the overview.

Views allow you to define and save filters for all the fields in an overview. The filters can also be defined as complex filters that allow logical AND/OR/NOT links.

You have the following options for opening saved filters:

• If you have saved your view as a favorite, you can access it from the Desktop.
• If you are in an overview for which you have defined a view with a filter, you can open your view from the menu next to the Settings icon:

Creating, editing, and saving a view

You can accelerate your work by defining and saving custom views. You can define these views for yourself or for other users or user groups.

Proceed as follows:

• Go to an overview for which you wish to create or edit a view.
• The gear icon must be visible in the overview.
1. Select Edit view or click the Settings icon .
2. Edit the filter according to your search query.
3. Click Apply.
   • The overview now shows the filtered view instead of the default view.
4. Select Edit view or click the Settings icon:
5. In the Edit view window, switch to the Basic data sheet.
6. Enter a name and description for your view.
7. You can also provide a reason for using your view. You can add individual users (user name) or approve the view for certain user groups (user roles).
8. When you are finished, click Save.

• The name of the view appears in the title bar of the overview.

• To save your view as a favorite, go to the Edit view window, and under the split Save button, select the option Save and add as favorite.

• To copy the view, go to the Edit view window, and under the split Save button, select the option Duplicate.

Selecting a specific view

You can switch back and forth between various saved views of an overview.

Proceed as follows to select a view:

• You must first create and save a view.
• Go to the overview for which you have saved a view.
1. Click on the right-hand portion of the split Settings icon:
2. Select Switch view.
3. Select the desired view and click OK.

Proceed as follows to revert to the default view:

1. Click on the right-hand portion of the split Settings icon:
2. Select Default view.

Managing views

You can view, edit, remove, and add views.

Proceed as follows:

• Go to an overview for which you have already saved one or more views.
1. Click on the right-hand portion of the split Settings icon:
2. Select Manage views.
   • A window with the current views opens.
3. Here you can view and edit (Open) or remove (Delete) existing views. You can also add new views (New).

Editing views with complex filters

Complex filters allow you to define free combinations of specific search criteria.

Proceed as follows:

• Go to the overview in which you wish to create or edit the complex filter.
• The gear icon must be visible in the overview.
1. Select Edit view or click the Settings icon .
2. In the Edit view window, switch to the Complex filter sheet.
3. Define the filter according to your preferences using the options described in the table below.
4. Now you can apply the filter (Apply) or save the view (Save). In the Edit view window, you can also click the split Save button and select the option Save and add as favorite.
5. Copy filter: Go to the Edit view window, and under the split Save button, select the option Duplicate.

The table below shows the options available for creating a complex filter:

• The top node is identified by an arrow icon. This node cannot be deleted.
