Depending on the data elements required for a declaration, you may be required to enter information relating to the parties involved. Guidance can be found on this HMRC website.
Mandatory parties will be highlighted. Parties can be added by selecting from the drop-down list, or by clicking the pencil icon.
- When selecting from the drop-down list, the data is taken from your master data records for the selected company, including the EORI number.
- When clicking the pencil icon a new window will appear allowing you to type in the required data. This will not be stored in your master data. You can also use the Select company button to show your master data records to select from.
When done, click OK to save and return to the main screen. - If a field is still highlighted after data entry, you can click the refresh icon to validate the entry.

Representation |
Where required to declare a representation type, the user can select this from a drop down menu within the parties section (DE 3/21). Where self representation is used (no representation is used), the details entered in the Declarant (DE 3/18) and Exporter (DE 3/2) data elements should be the same, and the AI code ‘00400’ must be declared in the Additional Information section (DE 2/2). |
Declarant (DE 3/17 and DE 3/18) |
The Declarant should be the sender/CDS authorized party. This is mandatory as it is the link between your AEB system and HMRC. This is either via a CDS direct connection, or your CSP (i.e. Pentant, MCP, CNS, CCS). This would usually be configured within Customs Management in the participant settings. |
Exporter (DE 3/1 and DE 3/2) | This is the party exporting the goods – this may be the same party as the declarant. |
Consignee (DE 3/9 and DE 3/10) | This is the party to whom the goods are consigned / shipped. |
Representative | The completion of this field is only required where the Representative differs from the Declarant, but is required regardless of whether direct or indirect representation is used. |
Carrier (DE 3/31 and DE 3/32) | There are instances where the declarant may be required to fill in the carrier details within the parties section. |
Shipping Point | This is an internal Customs Management field and not a CDS data element. |
