Views make it possible to save overviews with filter settings that you use regularly already applied. Views can also accommodate complex filters to refine searches even further.
- Not all overviews support the use of views. Those that allow you to create and edit views of an overview are identified by a gear icon with the Customize label.
Creating, saving, and opening views
You can accelerate your work by defining and saving custom views. Possible approaches:
- You have already filtered an overview by specific criteria and would now like to save these settings as a view.
- You would like to create a new view first and then define the filter criteria within that view.
Proceed as follows:
- Go to an overview for which you wish to create a new view.
- Click the gear icon .
- Create a view from an already filtered overview: Right-click and select Save view as from the shortcut menu.
- Create a new view and define filter criteria within that view: Right-click and select Edit view from the shortcut menu.
- The Edit view window opens.
- Edit the Basic data and Filter criteria sheets.
- Assign rights for your view if needed. You can add individual users (user name) or approve the view for certain user groups (user roles).
- Then click Save.
- To save your view as a favorite as well, go to the split Save button and select the option Save and add as favorite.
- The overview is filtered based on the defined criteria, and the name of the view appears in the title bar of the overview.
- To open a saved view from the overview, click the gear icon and select Switch to view from the shortcut menu.
- Now you can select and open the view.
- If you previously saved your view as a favorite, you can also open it from the Desktop, making it easy to switch between different views.
- To return to the default view, click the gear icon and select Standard view from the shortcut menu.
Editing and deleting views
Views can also be edited or deleted.
Proceed as follows:
- Go to an overview for which you have already saved one or more views.
- Click the gear icon and select Manage views.
- A window with the current views opens.
- Here you can view and edit (Open) or remove (Delete) existing views.
Defining specific searches using complex filters
If the filter criteria available in an overview are not adequate to define the search you wish to run, you can define complex filters in a view. This allows you to freely combine specific search criteria and define logical AND/OR/NOT combinations.
Proceed as follows:
- Go to the overview in which you wish to create or edit the complex filter.
- The gear icon with the Customize label must be visible in the overview.
- Click the gear icon and select Edit view.
- Switch to the Complex filter sheet.
- Define the filter according to your preferences using the options described in the table below.
- Now you can apply the filter (Apply) or save the view (Save).
- To save your view as a favorite as well, go to the split Save button and select the option Save and add as favorite.
The table below shows the options available for creating a complex filter:
