In the materials section of master data, you can enter materials (items) that you need on a recurring basis.
Changes to these materials only affect new transactions (e.g. new customs declarations); transactions that have already been created are not changed.
- To create a new material, go to Master data > Materials.
- Click New to add a material, or open an existing material to change it.
- Enter the relevant data on the various tabs (Material / Customs declaration / Summary declaration / AC transit procedure).
- You can use the Validity period to remove materials that are no longer needed.
Using different validity periods, you can also store future changes to a specific material in your system. To do this, change the validity period for the material already stored, and then enter a second material with the same material number, whose validity period must not overlap with the first material. - On the Customs declaration tab, information can be stored in the areas of Basic data, Details, D.V.1 information and Documents. In the Documents area, use the plus sign to create a new entry line.
- Click Save & close when done.
Upload via CSV File
You can also import a CSV file with your material information. To do this, from the Material overview, select the Material menu and click CSV-Import.
Click the Help button for a brief description of the data format requirements. Please note that all 15 columns must be present in the CSV file, but these can be empty. Only the Material no. and Material text fields (marked with *) are mandatory and must contain data.
Using Materials in a Customs Declaration
A saved material entry can be selected in a declaration (Customs declaration, Summary declaration, Customs transit procedure) on the Items tab, using the New from material option, or from within an existing item, using the Load from material option from the Item menu.
- Please note that if you use the New from material or Load from material functions, the assistant will only indicate if the values in these fields are incompatible with field rules, or existing data. The assistant cannot highlight where certain material data is incorrect or not applicable, so ensure that only values which are always applicable to a material are stored in the material record.
