In addition to the option of manually checking individual addresses, you can also use a file upload to check multiple addresses within a file.
To do this, go to Compliance Screening > File check.
First carry out a format check. Selecting Format check does not yet check the address data, only the file format.
- Note: It is essential that you use the format check option before the actual file check. If necessary, you can also use it to analyse errors in the file check.
When the format check has produced no errors, proceed with the file check using the New button.
By default, the check settings defined in your default profile are used for the file check. You can also change these settings manually for individual file checks.
When defining the values, ensure that they match your file.
- File format: There are two different file formats available, which differ mainly in the number of columns and mandatory fields: The ‘Smart’ or ‘Standard v3.1’ format is most commonly used. You can download a sample file for both options.
- Character set: Specify a character set that supports the characters of your address data. If the character set in the file and the check settings are different, character distortion may occur.
Once you have taken all points into account, import the file. In contrast to a format check, only the format of the first 50 lines is checked. After a successful import, press the Start check button to start the check. This is carried out in the background and can take a few minutes. Refresh the display or close the File check tab and open it again to display the current status.
If your file did not contain any errors, you can start processing directly. Alternatively, you can edit the file later via Match handling.
Have you Received Errors During the File Check?
If errors have occurred, the file remains in imported status and some or all of the address data will not have been checked. Open the relevant file and select Show error details to obtain an Error analysis. Correct your file and submit it for checking again.
You can be notified by e-mail when a file has been successfully checked, and sent the associated information such as the number of matches and errors in the address check. You can set this option in the check profile that is being used, provided the I_COMPLIANCEADMIN role is enabled.
