If the general license for which you registered has a reporting procedure or you are using collective export licenses in Germany, License Management helps you compile your semi-annual reports to BAFA.
The reports are sent to BAFA electronically through the ELAN-K2 portal. You can either enter all the data using an electronic reporting form in ELAN-K2 or, depending on the license you’re using and on the exporter or shipper, upload an XML file to the ELAN-K2 portal.
License Management can create this XML file for the reporting procedure for general licenses and collective export licenses for you. This is done by drawing on data that you have already defined in the approvals of critical transactions. The Assistant guides you in creating the XML file and ensures that all the mandatory information is included in the required format.
- BAFA does not accept addresses in which both the P.O. box address and the street address are maintained.
If both addresses are maintained, License Management therefore only transmits the street address to BAFA. Exception: If the data for the P.O. box address is more complete than that for the street address, it will be transmitted instead of the street address.
In the ELAN-K2 usage reports, BAFA requires a special export control number format with sub-numbers for more precise specification. These BAFA goods list numbers cannot always be determined automatically from the export control number. To avoid having to manually select the BAFA goods list numbers again and again in the individual approvals, you can maintain them in a separate master table for the goods attributes you use. If the assignment in the table is unambiguous, License Management automatically populates the BAFA goods list numbers in your approvals.
You can add one or more documents to your ELAN-K2 usage report for internal documentation purposes. You can download a PDF document from the BAFA portal that confirms the receipt of your usage report, for example.
